Bullhorn Submission Workflow (Sales & Desker/Recruiter) - DWC
1. Log-in to Bullhorn
URL: staffing.bullhorn.com
2. Assigned Desker: Run a Candidate Search in Bullhorn
Take the search results to a Tearsheet (if more than 500) or to a Distribution List (if less then 500)
3. Assigned Desker: Send out your "Blast" to defined Candidate pool
Use email template in Bullhorn
4. Assigned Desker: Clearing Call with the Candidates that reply to the Blast and express interest in the role.
Candidates that are Interested are then "Submitted to the Job in Bullhorn"
See Step #5 below
The updated Candidate resume must also be loaded onto the Bullhorn Candidate record at this time
5. Desker: Navigate to the Candidate Record and Click on the "ACTIONS" menu
You can do this from the Job record as well - wherever you are at in Bullhorn (Candidate or Job), you can create the Submission

6. Desker: Click on Add Submission
This is the step of adding a Candidate to a Job in Bullhorn for consideration by your Account Manager/Sales person to send to the Client.

7. Enter the Bullhorn Job (ID # or Name) that you would like to Submit to
Click the Job as it appears so that it is selected

8. Click on SUBMISSION TEMPLATES
You can use the "Brandon Simmons - DWC - MPC Template" or feel free to create one of your own! This template will automatically appear as "Recruiter Notes" when you create the 3DIQ Candidate Profile.

9. Click on SAVE
Once you have completed filling out your template, click "SAVE"

10. Desker: Open the Job
In Bullhorn, open the Job that you submitted the Candidate to

11. Recruiter: Click on "3DIQ" tab in Bullhorn

12. The Candidate Profile loads in 3DIQ
You may have to refresh Bullhorn if the Candidate has not had time to load into 3DIQ (it only takes a few seconds)

13. Click on Create Profile
Choose the Candidate or Candidates (you may send as many Candidates as you like at one time - instructions below) you want to create profiles for by selecting the checkbox next to the Candidates name and select "Create Profile"

14. Recruiter: Submitting multiple candidates for a job within the same email
This is done by selecting multiple Candidate checkboxes next to their name instead of a single one.
You have the ability to submit multiple candidates to a job while sending only one email to the client. This simplifies the process by listing a separate link for each candidate profile for the client to review.
Unlike a single candidate submission when you submit multiple candidates at the same time the Candidate Summary notes do not populate in the email. You may want to add a personalized note for the client to highlight each candidate's qualifications.

15. Recruiter: Choose or Create a Profile Version
The resume that you want to use must be saved in the Files section of the Bullhorn Candidate record - choose the one you want by selecting the highlighted blue text of the resume file name.
Note - If you have previously created a profile for this Candidate in 3DIQ, you can choose to use that and just edit - that choice will only be available if you have previously created a profile using 3DIQ for this Candidate.

16. Recruiter: Internal Notes
If you are sending this Candidate to an Account Manager for review prior to sending to the Client, enter your notes to them in this field.
These notes are only visible to your Account Manager - the client will never see any information entered into this box.

17. SAVE Internal Notes
Ensure that you click save on the Internal Notes after you have completed them

18. Recruiter Notes
Either complete or edit (if needed) the Recruiter Notes that you want the client to see (remember that the template you choose when you submit the Candidate in Bullhorn is what you will see here).
These notes are visible to the client.
Make sure to click "SAVE" after you have entered the notes.

19. Attachments
If you need to add any attachments - do that here by expanding this section and loading the document either from a Bullhorn Candidate record or your Desktop

20. Contact
The Contact shown to the Client will always pull from the Job Owner field in Bullhorn

21. Recruiter: Email Account Manager (If the Candidate needs to be reviewed internally prior to sending to Client)
Choose "Email Account Manager" if you are sending this to a sales person/Account Manager internally for review before it goes to the Client.

22. Recruiter: Save & Log Submission (If sending directly to Client)
Choose "Save & Log Submission" if you are sending this directly to a client and do not require it to be internally submitted first.

23. Sales: Account Manager Review
If the Recruiter chooses "Email Account Manager" then this is the email that the Account Manager/Sales receives to their Gmail inbox. The sales person has the ability to either View Candidate (preview of what the client will see) or Edit Candidate (to make adjustments and/or send the Candidate to the client.)
Important Note: The Sales person never has to be logged into Bullhorn to submit Candidates to Clients. All action is mobile friendly and can be done from any device, including your phone.

24. Sales: Account Manager Review (Edit Candidate)
The Account Manager will choose Edit Candidate to review the Recruiter Notes and presentation to make any needed adjustments prior to sending to the Client.
Once that is complete, they will send to the client (next step below)

25. Sales: Email & Log Submission
This sends the unique Candidate link to the Client.
This also creates a Client Submission automatically for the Client in Bullhorn and moves the Candidate into that "bucket" on the Submission.

26. Email Delivery to Client
When the sales person clicks "Email & Log Submission" it will automatically open a Gmail window and populate your Recruiter Notes from the Submission as well as the unique Candidate link.
It will prefill the Subject Line of your email - you may edit if you like.
If you are sending from your desktop, no signature will appear automatically. However, click the pen on the bottom of the Gmail window and insert your signature. If you are doing this from your phone/tablet then the signature will appear automatically if you have your preferences set to display signature in an email sent from your device.
Important Note: If you are sending multiple Candidates at one time, no Recruiter notes are included but all Candidates will have unique links. This is a standard email from Gmail so you can add any additional text that you wish.

27. Click Send on your Email
This will send the email to the Client for review

28. Client Link & Candidate Feedback
The client will receive the Candidate Submission link via email.
When they open the link, they will see the Candidate submission open in a web browser and be presented with a box in the lower right corner where they can give a "Thumbs Up or Thumbs Down on the Candidate to provide immediate feedback and to expedite interview scheduling.
The questions that the Client sees here are totally customizable, even by each Job (instructions above in Step #18

29. Email Read Notifications
You will get a read notification each time the Candidate link has been viewed by the Client.
Note: You will notice in this notification is a button that says "Edit Candidate" - since this is a live link, any edits you make will show to the client in real time. If you made a mistake and need to change something in the write-up or you forgot an important bullet/skill then you can add and it will appear to the client in real-time.

30. Mobile Friendly
3DIQ is mobile friendly - you and your client can view from anywhere on any device.
The Candidate profile can be edited by the Account Manager directly from the link, no need to be in Bullhorn. However, all information updated will write back to the Candidate record in Bullhorn. 😀
31. Preparing Clients for Resume Links
Introducing clients to 3DIQ
Be proactive and transparent with your clients. Let them know that you will be making a change to the way in which they will receive candidate submissions. This will allow them time to prepare for the change in process. Direct them to the 3DIQ help articles to give them the opportunity to see how they will receive links and give them time to adjust.
Preparing Your Client for Resume Links
Explain why you're making this change. They will see a mobile-friendly link that requires no software download they will have access to candidate information from anywhere. They have the option to provide feedback immediately and will see placements fill faster because they can do all of this "on the go". Why Links are Better than File Attachments
For those clients that want a hard copy of the resume, let them know they do have the option to download a PDF if they so choose.
32. Sales: Feedback Questions
If you would like to change the feedback questions (shown to the client) by Job, click the 3 dots next to the job (in the 3DIQ tab) and select "Customize Feedback Questions"

33. Sales: Add/Edit Feedback Questions
Add/Edit Feedback Questions - this corresponds to the Thumbs Up/Thumbs Down shown to the Client on the Candidate profile.
Note: The clients feedback/answers to these questions are written as a Note into Bullhorn.

34. Resume Tracking & Activity Details
Note Actions in Bullhorn
3DIQ automatically writes a number of different note actions back into Bullhorn in order to streamline workflows and save time during the recruiting process.
All note actions are written into the associated Job, Client Contact, and Candidate profiles. These notifications include:
Client Submission - Automatically written into Bullhorn when the user clicks the "Email and Log Submission" button in 3DIQ. The note action includes the resume link URL.
Sent to Account Manager - Automatically written into Bullhorn when the user clicks the "Email Account Manager" button in 3DIQ.
View - Automatically written into Bullhorn when a client clicks to view a resume link. Corresponds with the resume view email notification. Only a single note action is written into Bullhorn and additional views are added to the note.
Feedback: Positive - Automatically written into Bullhorn when a client clicks "Thumbs Up" and submits feedback on a resume.
Feedback: Negative - Automatically written into Bullhorn when a client clicks "Thumbs Down" and submits feedback on a resume.
Link Reactivation - Automatically written into Bullhorn when a client submits their email address and requests activation of an expired resume link.
All note actions are written by the 3DIQ API user.
35. Client Connect Portal (if access is Provided to the Client)
You have total control if you want to provide Client Connect access. This page provides step by step instructions, visuals and "how-to's"
This is controlled on the Company Record in Bullhorn through the 3DIQ Client Connect tab.
You have complete control if you provide this to Clients or not. It would be best practice for clients that we do a lot of business with (high volume) or multiple different roles to the same hiring manager that you provide this access and ease of use.

36. Resume Link Expiration
Resume links are set to automatically expire after 60 days
Users can see each candidate's resume expiration date on each resume and within the candidate list view in 3DIQ.
What Your Client Sees
Once a resume link has expired, your client will still be able to click on the link. You receive a Resume View email notification and a Note is created in Bullhorn. Your client will see your logo, contact information, and the name of the candidate. However, instead of the resume he or she will see a message that says "Access to this Resume has expired. Please contact me to reactivate access to this Resume."
Instead of the standard feedback box, your client will now see a prompt asking them to enter their email to request access to the resume.
When your client enters their email address and requests reactivation, you will receive an email notification. To reactivate the resume, simply go to the candidate's 3DIQ profile in Bullhorn, click Edit Candidate, and change the expiration date to any date in the future.
