When a Job is Created in Bullhorn, there is an automation that runs that assigns RC’s to Job Owners in a custom field: Assigned to RC

- The Recruiting Coordinator is looped into the interview scheduling process by the Sales team via email
- The salesperson knows which RC to copy in on the email based on the Assigned To – RC field that is populated on the Job in Bullhorn.

- The Recruiting Coordinator responds to the email with the client asking for Interview availability
- The Recruiting Coordinator goes to the Candidate record that they will be scheduling the interview for in Bullhorn and selects Email from the Action menu in the upper right corner

NOTE: At the bottom of the “Compose Message” screen, you can create a Bullhorn Task to call the Candidate as a follow-up if you are unable to connect with them initially.
4. When the Interview time is coordinated, the RC navigates to the appropriate Job record "Submission" tab in Bullhorn and selects the Candidate that they are scheduling the interview with (#1 below) and then clicks the "Move" drop down and select "Interviewing" (#2 below)



Ensure that "Yes" is checked to Schedule Appointment and then click "Move" - this will automatically open the screen to create an Appointment.


5. Go to the Candidate record in Bullhorn and send them an email utilizing the Interview Prep email saved in Templates

6. Go to your Google Calendar and send a meeting invite for the agreed upon time to the Client, Candidate and any internal team members that need to be included as well.

* Ensure you include the appropriate Zoom link for the invite as well. If you are using your personal Zoom link, that is integrated into Google Calendar and can just be selected. If you need to utilize the shared team link in the instance of overlapping meetings, choose that link by signing into Zoom from the Chrome extension and copy paste into the Gmail invite.
7. The Candidate interviews can be tracked very easily in Bullhorn through the entirety of the process (Initial to Final Interview). You do this through accessing Planner from your Bullhorn menu


- You can use the filters in Users to view the Appointments that were created by the Appointment owner
