Bullhorn Submission Workflow (Sales) - DWC
1. Sales: Account Manager Review of Candidate Submission Email
If the Recruiter chooses "Email Account Manager" then this (pic below) is the email that the Account Manager/Sales receives to their Gmail inbox. The sales person has the ability to either View Candidate (preview of what the client will see) or Edit Candidate (to make adjustments and/or send the Candidate to the client.)
Important Note: The Sales person never has to be logged into Bullhorn to submit Candidates to Clients. All action is mobile friendly and can be done from any device, including your phone.

2. Sales: Account Manager Review (Edit Candidate)
The Account Manager will choose Edit Candidate to review the Recruiter Notes and presentation to make any needed adjustments prior to sending to the Client.
Once that is complete, they will send to the client (next step below)

3. Sales: Email & Log Submission
This sends the unique Candidate link to the Client.
This also creates a Client Submission automatically for the Client in Bullhorn and moves the Candidate into that "bucket" on the Submission.

4. Email Delivery to Client
When the sales person clicks "Email & Log Submission" it will automatically open a Gmail window and populate your Recruiter Notes from the Submission as well as the unique Candidate link.
It will prefills the Subject Line of your email as well.
Important Note: If you are sending multiple Candidates at one time, no Recruiter notes are included but all Candidates will have unique links. This is a standard email from Gmail so you can add any additional text that you wish.

5. Click Send on your Email
This will send the email to the Client for review

6. Client Link & Candidate Feedback
The client will receive the Candidate Submission link via email.
When the hiring manager clicks the link, the Candidate submission opens in a web browser window and is also presented with a box in the lower right corner where they can give a "Thumbs Up or Thumbs Down on the Candidate to provide immediate feedback and to expedite interview scheduling.

7. Email Read Notifications
The Job & Candidate owner will get a read notification email each time the Candidate link has been viewed by the Client.
Note: You will notice in this notification is a button that says "Edit Candidate" - since this is a live link, any edits you make will show to the client in real time. If you made a mistake and need to change something in the write-up or you forgot an important bullet/skill then you can add and it will appear to the client in real-time.

8. Mobile Friendly
3DIQ is mobile friendly - you and your client can view from anywhere on any device.
The Candidate profile can be edited by the Account Manager directly from the link, no need to be in Bullhorn. However, all information updated will write back to the Candidate record in Bullhorn. 😀
9. Preparing Clients for Resume Links
Introducing clients to 3DIQ
Be proactive and transparent with your clients. Let them know that you will be making a change to the way in which they will receive candidate submissions. This will allow them time to prepare for the change in process. Direct them to the 3DIQ help articles to give them the opportunity to see how they will receive links and give them time to adjust.
Preparing Your Client for Resume Links
Explain why you're making this change. They will see a mobile-friendly link that requires no software download they will have access to candidate information from anywhere. They have the option to provide feedback immediately and will see placements fill faster because they can do all of this "on the go". Why Links are Better than File Attachments
For those clients that want a hard copy of the resume, let them know they do have the option to download a PDF if they so choose.
10. Resume Tracking & Activity Details
Note Actions in Bullhorn
3DIQ automatically writes a number of different note actions back into Bullhorn in order to streamline workflows and save time during the recruiting process.
All note actions are written into the associated Job, Client Contact, and Candidate profiles. These notifications include:
Client Submission - Automatically written into Bullhorn when the user clicks the "Email and Log Submission" button in 3DIQ. The note action includes the resume link URL.
Sent to Account Manager - Automatically written into Bullhorn when the user clicks the "Email Account Manager" button in 3DIQ.
View - Automatically written into Bullhorn when a client clicks to view a resume link. Corresponds with the resume view email notification. Only a single note action is written into Bullhorn and additional views are added to the note.
Feedback: Positive - Automatically written into Bullhorn when a client clicks "Thumbs Up" and submits feedback on a resume.
Feedback: Negative - Automatically written into Bullhorn when a client clicks "Thumbs Down" and submits feedback on a resume.
Link Reactivation - Automatically written into Bullhorn when a client submits their email address and requests activation of an expired resume link.
All note actions are written by the 3DIQ API user.
11. Client Connect Portal (if access is Provided to the Client)
You have total control if you want to provide Client Connect access. This page provides step by step instructions, visuals and "how-to's"
This is controlled on the Company Record in Bullhorn through the 3DIQ Client Connect tab.
You have complete control if you provide this to Clients or not. It would be best practice for clients that we do a lot of business with (high volume) or multiple different roles to the same hiring manager that you provide this access and ease of use.

12. Resume Link Expiration
Resume links are set to automatically expire after 60 days
Users can see each candidate's resume expiration date on each resume and within the candidate list view in 3DIQ.
What Your Client Sees
Once a resume link has expired, your client will still be able to click on the link. You receive a Resume View email notification and a Note is created in Bullhorn. Your client will see your logo, contact information, and the name of the candidate. However, instead of the resume he or she will see a message that says "Access to this Resume has expired. Please contact me to reactivate access to this Resume."
Instead of the standard feedback box, your client will now see a prompt asking them to enter their email to request access to the resume.
When your client enters their email address and requests reactivation, you will receive an email notification. To reactivate the resume, simply go to the candidate's 3DIQ profile in Bullhorn, click Edit Candidate, and change the expiration date to any date in the future.
