Recruiting Coordinator Process – Bullhorn Best Practices for Interview Scheduling
- The Recruiting Coordinator is looped into the interview scheduling process by the Sales team via email
- The salesperson knows which RC to copy in on the email based on the Assigned To – RC field that is populated on the Job in Bullhorn.
- The salesperson will need to include the Bullhorn Job ID # in the introduction email to the RC for efficiency

- The Recruiting Coordinator responds to the email with the client asking for Interview availability
- The Recruiting Coordinator then goes to the Candidate record that they will be scheduling the interview for in Bullhorn and selects Email from the Action menu in the upper right corner

Message Templates allow the RC to consolidate and create unique templates for efficiency. There are no limits to the number of templates that can be created.

NOTE: At the bottom of the “Compose Message” screen, you can create a Bullhorn Task to call the Candidate as a follow-up if you are unable to connect with them initially.
- When the Interview time is coordinated, the RC goes to the Job record in Bullhorn and selects the Schedule Interview menu in the upper right corner

6. Go to the Candidate record in Bullhorn and send the Interview Prep email saved in Templates to the Candidate
7. The Candidate interviews can be tracked very easily in Bullhorn through the entirety of the process (Initial to Final Interview). You do this through accessing Planner from your Bullhorn menu
- You can use the filters in Users to view the Appointments that were created by the Appointment owner
Notes:
* Emails are visible on the Candidate and Contact records so they can be viewed at any time
*If you need to create subsequent Interviews, follow the same steps outlined above beginning at Step #5
