March 2023 - Tech Updates

1. Bullhorn record merge process moving inside Bullhorn

We have heard from a number of you that now that your workflows live in Bullhorn, you would also like the ability to request records be merged from inside Bullhorn as well. Our team has taken that input and built a process, that keeps you in Bullhorn, to notify us when you would like records to be merged.

The MCG East team has been using this process for the past 1.5 weeks and it is working well.

The step by step instructions can be accessed here

2. Best Practices in Bullhorn Messaging (Text Messaging)

Bullhorn Messaging (Text Messages) best practices help to streamline and create efficiencies in your workflow as you begin to incorporate this into your arsenal.

As you think about how to best add in text messaging to your workflow - here are some Bullhorn Messaging customer stats on Candidate acquisition to consider:

  • 60% response rate when recruiters use 1:1 conversational text messaging to new Candidates.
  • 67% of candidates respond to messages with 50 characters or less. Be concise
  • 70% of candidates respond within the first two hours.
  • 85% of candidates respond after the first text message.
  • Candidates respond the quickest on Thursdays and Fridays.

3. Copying invitees email addresses in bulk from Google Calendar

Did you know that you can copy email addresses of attendees in your Google calendar invite? Sometimes you need to follow-up and send an email to everyone that was in a meeting and instead of composing a new email and typing all the names in, there is a "hidden" copy functionality that will bring them all over at once.

You begin by opening the Google calendar invite (example below)

As you can see above, initially there options to "Chat with Guests" & "Email Guests" - however, the "Email Guests" function sends from inside the calendar invite template and not through your typical gmail template that includes your signature. If you want to copy emails of attendees and then paste in a new email, simply hover over the guest box (highlighted in red above) and a new option appears "Copy Guest Emails"

You can then take those emails and paste them into a new email.

4. On-screen help guides

We are using a tool called Tango across the org to document workflows and processes to ensure it is easily captured and communicated. This tool also has functionality called "Guide Me" which splits the user screen and walks them step by step through the process in the tool they are using. We have built these extensively in Bullhorn and are replacing all documentation to be step by step assist guides.

When the link is clicked (for example, on the new Bullhorn Merge Process in #1 above) a new browser tab will open that looks like this:

You will notice a button in the upper portion of the screen called: "Guide Me" - click this button and you will be taken to Step #1 in the workflow and will be provided with an on-screen help guide that walks you step by step through what to do.

Your screen will open to Step #1 in the "Guide Me" (in this case Bullhorn) and you can follow step by step to the left as you perform on the screen to the right

Note: You can even check off the numbers as you go, creating a checklist and providing a very visual way of learning and doing.
